# ZEKTRX Operative Terms of Service

Effective date: 25 May 2026
Version: 2026-05-25

These operative terms apply to operatives, workers, subcontractor personnel, site users, field users, clock-in users, sign-only users and anyone using ZEKTRX through an employer, contractor or company workspace for site, field, document-signing, training, inspection or evidence workflows.

## 1. Your use of ZEKTRX

1. You must use ZEKTRX honestly, safely and only for authorised work purposes.
2. You must follow your employer's or contracting company's policies, site rules, RAMS, permits, toolbox talks, inductions, supervisor instructions and applicable law.
3. You must not share your account, PIN, sign-in link, device session or signature with another person.
4. You must not sign, acknowledge, clock in, check in, complete training, submit reports or upload evidence for anyone else unless the company has explicitly authorised that process.
5. You must tell a supervisor or company admin if your device is lost, your account is compromised or any record is wrong.

## 2. Documents, RAMS, briefings and signatures

1. You may be asked to read, acknowledge, sign or confirm RAMS, method statements, risk assessments, toolbox talks, permits, inspections, training records, site briefings, checklists or other documents.
2. Your signature or acknowledgement may be stored as evidence that you received, viewed, understood or accepted a document or instruction.
3. You must not sign a document unless you have had enough time to read it and understand what is required.
4. If a document does not match the actual work, site conditions, equipment, access, weather, supervision, training or hazards, you must raise this before starting or continuing work.
5. ZEKTRX does not remove your right or duty to stop and report unsafe work.

## 3. GPS, clock-in, check-in and location features

1. ZEKTRX may record clock-in, clock-out, check-in, check-out, site attendance, task start/finish, GPS coordinates, approximate location, timestamps, device/browser metadata, selfie/photo evidence, site selection, geofence status and related audit records where enabled by your company.
2. Location data may be used for attendance, payroll support, fire roll call, site access, lone-worker checks, supervisor visibility, incident investigation, audit records, compliance evidence and operational planning.
3. GPS and device location can be inaccurate because of signal, building conditions, device settings, battery saving, browser permissions, VPNs or network conditions.
4. If a location or clock record is wrong, you must report it to your supervisor or admin as soon as possible.
5. You must not spoof location, tamper with device settings, use another person's device/account, create false attendance records or deliberately bypass geofence checks.
6. Your company is responsible for telling you how it uses attendance, GPS and monitoring data and for complying with employment, privacy and worker-consultation requirements.

## 4. Photos, uploads and evidence

1. You may upload site photos, issue reports, inspection evidence, quality reports, clock-in selfies, document photos or other files.
2. Upload only work-related content that you are authorised to submit.
3. Do not upload offensive, unlawful, private, irrelevant or excessive personal content.
4. Avoid including unnecessary personal information, bystanders, children, private homes, unrelated workers or sensitive documents unless required and authorised.
5. Uploaded files may be malware scanned, stored, reviewed, exported and retained by your company according to its plan and policy.

## 5. Messages, reports and conduct

1. You must use messages, issue reports and comments professionally.
2. Do not submit false, abusive, discriminatory, harassing, threatening, defamatory or misleading content.
3. Reports should be factual and timely, especially for hazards, incidents, near misses, defects, missing materials, access issues, quality issues or unsafe conditions.
4. Urgent safety issues must also be reported immediately using your company's normal emergency or supervisor process. Do not rely only on an app report.

## 6. Training, competence and personal records

1. ZEKTRX may store training records, certificates, PPE records, toolbox talks, briefings, role information, worker profile details, competence evidence, medical/occupational-health administrative flags and expiry reminders where your company uses those modules.
2. You must not upload false certificates or claim competence you do not hold.
3. You should tell your company if a certificate, training record, PPE issue or competence record is wrong or expired.

## 7. Privacy and monitoring notice

1. By using ZEKTRX as an operative, you understand that your company may use the platform to create audit trails of document signatures, training, attendance, location, reports, messages, uploads and activity.
2. Your company decides why and how most worker data is used. ZEKTRX provides the software platform and processing tools.
3. Data may be processed by ZEKTRX and third-party providers such as hosting, database, storage, malware scanning, analytics, error monitoring, AI and integration providers.
4. You should read your company's employee privacy notice, worker monitoring policy, GPS/clock-in policy and site rules.
5. If you have privacy questions, ask your company admin, employer, data protection contact or supervisor.

## 8. Safety-critical acknowledgement

1. ZEKTRX is an operational record system. It is not a replacement for safe systems of work, competent supervision, emergency arrangements or your own duty to take reasonable care.
2. If an app instruction conflicts with site reality, supervisor instruction, legal duty or safe working practice, stop and ask for clarification.
3. Do not continue work just because a digital form appears complete.

## 9. Account security

1. Keep your device and account secure.
2. Use only your own account.
3. Sign out on shared devices.
4. Report lost devices, suspicious access or incorrect records promptly.

## 10. Download and acceptance

You can download these terms from the platform. Your acceptance may be recorded with user ID, company ID, role, timestamp, IP address, user agent and policy version. You may be blocked from operative access until you accept the current operative terms.
